Employees
All employees traveling abroad on behalf of the University must obtain travel authorization and register their trip with On Call, the UT System contracted travel and emergency service assistance provider, prior to departure.
Add the On Call contact to your mobile. From your mobile phone open On Call 24/7, click on DOWNLOAD CARD. On iPhone, click on the SHARE ICON on the top right, select CONTACTS, then click on SAVE to save the contact in your phone. Please verify the contact was saved. Follow a similar process on other phones.

- Proof of coverage. To get personalized proof of coverage, please request an insurance letter
- Travel and emergency assistance coverage period. Employees will be covered for the period authorized by the University. There is an additional 2 week personal deviation coverage immediately on each side of the authorized period. The 2 weeks of personal deviation coverage on each side are set and cannot be moved. Employees not enrolled in the UT System Employee Benefits program have the following options for international travel coverage:
- Option A. Purchase a personal insurance policy that includes medical coverage.
- Option B. If any medical expenses are advanced on your behalf by On Call: Pay them to On Call and then request reimbursement through your personal insurance provider. Review your out-of-network costs if any with your personal insurance provider.

Students

Enrollment in this insurance program is mandatory, regardless of any other insurance the students may have, including insurance possibly required by an affiliate study abroad program or a foreign government. All students are strongly encouraged to maintain their U.S. health insurance coverage in case treatment is necessary upon return to the United States.
Enrollment in the insurance program occurs through registration of the trip On Call.
- IRSO will register the activity site and official activity dates as part of the travel authorization process, allowing for enrollment.
- Students will register their flight and lodging with On Call once they have this information available, allowing for the most accurate pin on a map for On Call to assist in case of emergency.
Proof of coverage. To get personalized proof of coverage, please request an insurance letter.
International Travel Insurance Fee. The insurance fee pays for the insurance program. The fee is $30 per week and will be assessed to the individual student account. A week is considered to be 1 to 7 days. The number of weeks are determined by the official dates of the authorized activity. The student will be able to pay the fee as they pay any other fee in their account. Payment is due no later than 30 days after fee assessment. Failure to pay will result in University holds for the individual student. To calculate the total fee for an activity, use the insurance calculator below.
The fee is non-refundable. Appeals due to extraordinary circumstances, such as trip cancellation or early return, may be submitted to International Risk and Safety at IRSO@utdallas.edu.
Coverage period. The student will be covered for the period authorized by the University. There is an additional 2 week personal deviation coverage immediately on each side of the authorized period. Insurance Calculator
Enter the start and end date of the official activity dates. Example: conference first and last date, study abroad program start and end date, internship start and end date.
Coverage allows two weeks of personal deviation immediately before and after the official activity dates. The coverage period is calculated based on the official activity dates entered.
If you are a student, the number of weeks and the total fee amount to be charged to your student account is calculated based on the official activity dates entered. A week is considered to be 1 to 7 days. The fee is $30 per week.
